Office 365 Groups

Office 365 Groups is part of, and works with, the entire Office 365 suite of tools. It is used to help your employees collaborate in building spreadsheets, planning projects, setting up meetings, sending emails, or simply composing documents.

When you want to create a working group, Groups lets you choose the individuals who will work together and share information. When you choose who will be in a working group, Office 365 automatically sets the correct permissions for access to a shared library of documents, calendar, or Outlook inbox as appropriate to the work at hand.

And, Office 365 Groups is flexible because not all projects have the same needs. You start by setting up the working group which can be done in Outlook Mobile, Outlook on the web, Outlook, Planner, SharePoint, or Teams.

You can make a group public which allows anyone in your organization to participate. But, usually, it will be private and limited to those to whom various tasks have been delegated. Although the information in public groups and be see through your organization it is not visible to outsiders except when specific persons are granted “guest” status on a “need to know” basis.

Office 365 Planner

When you upgrade to Office 365 you can use Planner to set up a plan and assign team members. You will use this tool to delegate work and get updates on progress. The set is very intuitive and “visual.” You will set up a “board” for each individual plan and within that plan put specific jobs into “buckets.” You can use the “drag and drop” function to move jobs or tasks from one area to another as work is accomplished or perhaps reassigned.

Workers in specific work groups will have “my tasks” view. This complete listing of specific tasks is shared across the workgroup so that members of a team will be knowledgeable of who is responsible for each part of the job.

With this organizational tool, workers in a group, the group leader, and you, the boss, always have a record of team communications and progress on the various facets of a job.
